Changes to 2021-2022 Verification Requirements

The Department of Education released a Dear Colleague Letter on 7/13/2021 about changes to the requirements for verification in the 21/22 aid year. CampusLogic is in the process of reviewing this DCL and will provide additional updates through this form and our Customer Success Managers.

This communication is not meant as regulatory guidance or advice to a school. It is the responsibility of the institution to ensure that the implementation, configuration, updates to, and utilization of the tool set purchased from CampusLogic are meeting Federal and State regulatory requirements/sub regulatory guidance, institutional polices, and accrediting body standards and requirements.

Good morning

It sure has been a busy few weeks for everyone in financial aid; I hope everyone is hanging in there. As you are working through all of the recent changes, we wanted to take a few minutes and update you on several items. The below will cover the implementation of Federal regulatory changes made to verification, selective service, and drug conviction as they relate to CampusLogic StudentForms.

Please read this announcement in full and add the appropriate webinar to your calendar that will be presented live this week.

Selective service and drug conviction adjustments: (As a reminder, the Federal implementation guidance for this item has a deadline of August 16, 2021.)

Schools that wish to continue collecting selective service and drug conviction documentation do not need to take any action. Many state authorities are still requiring institutions to collect selective service and drug conviction documentation from grant recipients. For this reason, the standard configuration for StudentForms will continue to request these documents.

Schools that wish to no longer collect documentation for selective service and drug conviction will need to notify their customer success manager via a support ticket that they would like the requirements removed. This will be done through a custom trigger or rule. Additional information on submitting this request will be provided in the webinars to be held later this week.

21-22 Verification

We have spent the last several days talking to school partners about how they are going to proceed with the new leniency offered by the Department of Education on the verification of financial items, household size, and number in college for the 21-22 aid year. As you can imagine, every school is doing things a little differently. CampusLogic has taken this into advisement, and we have created what we think is a comprehensive plan to help all partner institutions meet their needs as quickly and easily as possible.

In general, schools fall into one of two camps:

  • those who are going to continue to conduct verification based on previous guidelines
  • those who will choose to leverage the verification lenience

To best address these two groups' unique needs, we will host two customer webinars this week that will outline the next steps depending on the operational decisions you have made. If you are still determining the path you will take, we encourage you to attend both sessions.

To ease your mind slightly, below you will find some very high-level information about the planned changes to StudentForms. We fully expect that you will have many questions, which is why we are conducting the webinars this week. Please hold your questions so we can address them as a community and ensure that all school partners receive the benefit of hearing both your questions and the answers we provide.

Schools that wish to continue completing 21-22 verification based on previous requirements.

Schools that wish to continue processing financial verification and adding tasks to new transactions created after July 26 will need to coordinate with CampusLogic via a support request.

Additional details on how to make this request will be delivered on the webinar this week.

Schools who will STOP completing new financial verifications for 21-22:

  1. CampusLogic will make the necessary adjustments to the StudentForms platform and will stop requesting documents for transactions created after July 26 associated with financial, household, and number in college verification.
  2. Students who already have a verification transaction for 21-22 will remain intact. Additional recommendations on the next steps for these students will be shared during the webinar and will be dependent on your choice to either waive requirements or allow the student to continue through verification.
  3. Students who have submitted documents will be available for review by the school to clear conflicting information.
  4. Students selected for V4 and V5 will receive the necessary tasks of high school completion and statement of educational purpose.
  5. Schools will receive recommendations regarding disabling custom triggers, communication adjustments, and integration as part of the webinar.

Next steps:

We know that there are many questions and items still in the air for you – as there are for us as well. First and foremost, I personally want you to know how much I appreciate the challenges facing each of you and your staff members as you work through all of the new guidance ED has issued. I also know that the industry could not be in better hands than yours in adapting and continuing to tirelessly work to ensure that students can pay for their education.

After some technical issues with zoom, we finally got things worked out. Here is the recording of the session for institutions who wish to stop verifying for 21-22 as soon as possible.  This webinar was intended to walk through system impacts and procedures for institutions who wish to implement the new leniency from the Department Regarding Verification. The second webinar below was intended to cover steps for schools wishing to continue verifying. However, we had a lot of cross over in the questions and I recommend viewing both. Especially if you intend on verifying for some programs or in certain circumstances.
