After selecting a student from search results or selecting the student's name from the transaction page, the school user is directed to the student's account page. The account page contains information and settings for the student's account.  It also allows school users to open transcations for a student.

Student Identifying Information


This is information to help the school identify the student quickly when accessing the student account.  The student's name is a link to return the school user to the account screen from the transaction screen.


Transaction Type Selection


Allows the school user to select from the different transaction types that the student may have.  The school user can choose Verification, Other Documents, SAP Appeal, PJ Dependency Override Appeal, or PJ EFC Appeal. 

  • Verification contains file review, document review and student view for verification and/or c code resolution. 
  • Other Documents contains a school's custom documents.
  • SAP appeal contains file review, document review and student view for SAP appeals. 
  • PJ dependency override appeal contains file review, document review and student view for student's requesting a dependency override. 
  • PJ EFC Appeal contains file review, document review and student view for student's requesting an EFC adjustment.


Available ISIR Selection


Allows the school user to select from the ISIR transactions for a student that have been imported into StudentForms.  Selecting an ISIR transaction from the drop down menu will display a PDF version of the ISIR.


Account Settings


The account settings section contains the View Settings button, Unlock button and Student Parent Users. The view settings button allows the school user to view the student's profile settings. The unlock button allows the school user to unlock a student's account (DSO schools only). The student parent users section allows the school user to see which parent has created an account. Selecting the view button allows the school user to see additional parent account information.


Verification Selection Options


The verification selection options are Request Transaction and Request Verification.  

  • Request transaction allows the school user to create a transaction for a student who has not created an account. School may use this to request documents from a student without selecting them for verification.
  • Request verification options allows the school user to request verification for a student who was not selected for verification by the department of education.


Please Note: If the student has not logged in after the ISIR was imported for an award year, the school may choose to request a transaction be opened for the award year to view the tasks a student may be required to complete. 


Appeals Selection Options


The appeals selection options are Request SAP and Request PJ.  Request SAP allows the school user to create a SAP appeal task for the student. Request PJ allows the school user to create a PJ Task for the student


Other Documents Options


The request document link allows the school user to request custom documents added for the school that are not part of verification or appeals transaction types.

The account activity section contains the deactivate account option, allows the school user to see the activity on a student's account and to see the communications that have been sent to the student and/or parent.


Account Page - Unlock Student Account

A school user can unlock a student’s account by clicking on the Unlock button located on the student's account page. 


If the student has forgotten their username you can retrieve it by using the view settings button. The student can also use the forgot username link on the login page.


If the student has forgotten their password, direct them to use the forgot password link on the login page. 


The student must verify their email address prior to being able to use the reset password or retrieve username functions.



Account Page - Update Student ID

The student ID may need to be updated in StudentForms due to being entered incorrectly or a change to student ID.


For Single Sign On (SSO) schools, the student ID may only be updated by schools users prior to the student creating an account. After an account has been created, as long as the information being passed to StudentForms when the student logs in has been updated, the Student ID will automatically update when the student next logs in.


Both SSO and DSO schools may update the student ID prior to account creation. To update the student ID prior to account creation, the school user selects the Edit button on the student's account page.



The school user enters the student ID into the student ID field. The School user must select the Savebutton to save the student ID changes. The Cancel button will not save the changes to the student ID and closes the edit option.



For Direct Sign On (DSO) schools, the student and school user both have the ability to change the student ID. Clicking on the options below redirects the user to PlatformManagement.  


The student can change their ID on their profile page located in the Name drop down menu in the upper right corner of the page.  Once the student is in their profile page in PlatformManagement, the steps to update the student ID are the same as the school user below.




The school user can change the ID in the view profile located on the student’s account page.



The below steps are the same for updating the student ID by both the student and school user. The user selects the Edit button to edit the Student ID.



The user enters the correct student ID.  The user must select the Savebutton to save the student ID changes. The Cancel button will not save the changes to the student ID and closes the edit option.




Account Page - View Student Username

The student is able to recover their username by selecting the forgot username on the login screen. This functionality is only available for Direct Sign On (DSO) schools that log in using the Secure Login screen (pictured below).





School users have the ability to view the student’s username and other profile information in the View Profile button.  After searching for the student in StudentForms and the school user is on the student’s account screen, the school user selects the View Profile button. Selecting the View Profile button redirects the user to PlatformManagement.



In the student's profile, the school user can view the student’s profile information.  This is the same view the student has when the student is viewing their profile page.  


The school user may also update information for the student if the school policies permit the school user to update information by selecting the edit button.



Account Page - Account Activity

The school user can view the account activity on the student’s account page. The account activity table lists all log in information from the student, document upload, changes in account status, along with school user activity on the student’s account.




Account Page - Communication Activity

Communication Activity

An audit trail of all email and sms communication to a student can be viewed from the student account screen by school users.


  • Access the student account via search or from the workflow page (click on student's name link at top of page)
  • Scroll to Account Activity Section 



  • On the communication activity tab a listing of the communications set from StudentForms to the student will be listed including the message type (email or SMS) the type of communication and either the phone number or email address the communication was sent. 
  • Click on the Email or SMS Text links to see body of communication.


Please Note the Following

  • Times are listed using UTC timezone not your institutional timezone (We know this stinks and we want to fix it too)
  • If students had communication sent to them prior to 10/30/2014 these will not be listed - we didn't store the data way back then
  • If the message includes information related to resetting/verifying passwords or two factor authentication you won't be able to open them for security reasons (Don't be offended. We consider everybody a security risk)
Account Page - Unlink SSO Account


If an ISIR record is already linked to a StudentForms user account and another user name is used during the account registration for that same ISIR the student will receive an error with the code "1011". In some cases, there may be a valid reason to unlink accounts because a user name changed or an error was made during the original registration (e.g. using a shared computer where another user was already logged in). In these scenarios the account can be un-linked on the student account page using the following steps. 


  • Navigate to the student's account activity page.



  • Review account history to insure correct account is not associated with the ISIR and student receiving the "1011" did not make an error. 
  • Click Force Re-Registration button to unlink.
  • Instruct student to register by going to your StudentForms url after logging in with your institution's SSO if you use SSO and then re-register the account by inputting the answers to the four key identifiers. This will re-register the student and link their ISIR to the appropriate user name. 
Account Page - Unlink DSO Account

There are instances when a student ISIR is imported with the incorrect Social Security Number (SSN) or Date of Birth (DOB), yet passes the Social Security Administration check during processing. Students may create an account with the incorrect data and later go back to have their FAFSA reprocessed with the correct SSN/DOB, generating a new set of ISIRs with the correct information.

In these scenarios the account can be un-linked on the student account page using the following steps. 


  • Navigate to the student's account activity page.



  • Click Force Re-Registration button to unlink.
  • Instruct student to register by going to StudentForms and logging in with their username and password where they will be taken to the registration page. The student should then answer the four key identifiers exactly as they appear on the ISIR with the correct data. This will re-register the student and link their ISIR to the appropriate user name. 




Account Page - Request Transaction and/or Select for Verification

Request Transaction


At times it may be necessary for a school user to open a transaction for a student without the student creating an account.  This may be needed for students who may have completed part of the verification or c code resolution process outside of StudentVerification or if the school user would like to view the tasks that a student is required to complete.  The school user searches for the student , once the student is selected, the school user selects the request transaction link (verification/c codes), request SAP link ,or Request PJ link to open the transaction for the specified type.


The following instructions are for creating a verification/c code transaction.  Please see the articles for creating a SAP transaction or PJ transaction.

On the account tab the school user selects Create Transaction.  A pop up opens with a drop down to select the year for which the transaction is being created. 



Selecting create, creates the transaction for the student.

Selecting cancel, does not create the transaction for the student.


Creating the transaction does not create the student account. Student is still required to create an account to view the transaction if action is required by the student to complete the tasks.

The school user may view the student’s tasks by selecting the transaction type from the drop down options.


The school user can expand the task to view the student's progress within the task by selecting anywhere on the task.

If tasks do not require action by the student, the school administrator may waive the tasks.



Request Verification

If a school determines that a student’s information requires verification and the student’s ISIR has not been selected for verification by the Department of Education, the school can manually select the student for verification by the following process.

 

Search for the student in StudentVerification.

Select the Request Verification Link.



In the request verification screen, the request for verification requires the award year to be selected, the verification group and the reason the student is being selected for verification.


  • Select the award year (only award years with ISIRs loaded for the student and not selected for verification by ED are available to manually select for verification)
  • Select the verification group
  • Enter the reason for verification selection
  • Select complete



Selecting Complete will open a confirmation screen.

Selecting Cancel will close modal and not select student for verification.



Selecting confirm will select student for verification.

Once the student is selected it is treated like a Department of Education selected student and will not be able to be cancelled.

Selecting cancel will not select the student for verification.
