The statuses in the smart file review grid are determined by comparing the ISIR value to the document value. The isir value is populated from the most recent ISIR imported into StudentVerification with the highest transaction number. The document values are populated from the values entered during document review.
In most cases the status will default to match or ISIR correction. An additional option of ignore may be selected from the drop down menu for each ISIR field if the ISIR correction is not required.
In some cases the status cannot be determined automatically due to multiple document values entered for the same ISIR fields. In this case the school user will need to select the correct document value by selecting the multiple documents link. Smart File Review - ISIR Field Statuses
Incomplete: Document Review has not been completed or the document has not been received.
Blank: There are multiple documents that contain the associated ISIR field. Click on the Multiple Documents Link to select the appropriate document/value.
Match: The value that appears on the most recent ISIR is an exact match to the value entered on the document review screen or entered in the web form. A match status does not require an ISIR correction.
ISIR Correction: The value that appears on the most recent ISIR is not an exact match to the value entered on the document review screen or entered in the web form. A correction required status will result in an ISIR correction being sent to update the ISIR value to match what was entered in the document review.
Ignore: The value can only be assigned manually by a school user. If a value was auto assigned a correction required status but a school user determined a correction does not need to be sent to ED, the user can change the status to ignore.
Smart File Review - ISIR Field Status Not Populated
Some ISIR fields appear on multiple documents that the student has uploaded. For example student’s name, and DOB can appear on both the household form, and birth certificate. If the student uploads both of these documents into the application and the school user enters different values for each of these fields in document review, StudentForms is unable to determine which value should be used for the document value field, this is indicated with a blank Document Value and Status.
The school user should first determine if there was a data entry error and correct in document review. If there is no data entry error, the school user determines which document value is correct and which should be used in the smart file review for the document value.
The school user selects the multiple documents link under document type. A modal appears showing the documents that have the same ISIR field but different values entered in document review.
This allows for the master status field to be populated with the correct response value and status. Once the appropriate response value status has been set, the user saves their choice by selecting the save and close button.
- The school user must determine which value is the correct value.
- The school user leaves the default status for the correct response value.
- The status for all of the incorrect values must be changed to ignore.
If the response value for all of the multiple documents is the same across all documents the status automatically populates on the file review grid and no further action is needed.
