Introduction

The following outlines how to activate and manage settings for appeal functionality. Their are two types of appeal transactions:
  •  Professional Judgment - Manage the process for students who have requested an appeal to either override their dependency status and/or their estimated family contribution (EFC) calculation.
  • SAP Status Appeal - Manage the process for students who have requested an appeal to their Satisfactory Academic Progress (SAP) status for aid eligibility.

 

Users with the Admin Role will be able to access these settings under Admin>School Settings.

Appeals

The school is able to turn on and off the SAP Appeals and PJ Appeals individually.  The school may also choose to display the transaction status of the appeal to the student.
  • SAP Appeals  - When enabled, allows a school user with Admin or SAP User access to request, review and complete a SAP appeal in StudentForms
  • PJ Appeals - When enabled in addition with the individual PJ appeal types enabled, allows a school user with Admin or PJ User access to request, review and complete a PJ appeal in StudentForms
  • Display Appeal Status to Student - When enabled, allows the student to view the transaction status of the appeal. Transaction statuses visible to student are Open, In Review, Approved, and Denied

SAP Appeal Settings


The following settings allow your institution to customize the information presented to students as they complete the steps of the appeal web form and uploading supporting documentation:

 

  • SAP Appeal Instructions - Allows the school to customize the web form instructions on what is required to complete the appeal.
  • SAP Appeal Signed Statement Instructions - Allows the school to customize the instructions on what must be included in the student's signed statement for why they failed to meet SAP and what has changed to allow them to meet SAP in the future.
  • SAP Appeal Policy URL - School may provide a link to their SAP Policy on the school's website. The link appears in the SAP Appeal Instructions.

Professional Judgment Appeal Settings


The following settings are to enable the individual PJ appeal types and to enforce processing order for professional judgment appeals.


  • Professional Judgment Dependency Override Appeals - Allows the school to add a dependency override appeal for a student
  • Professional Judgment EFC Recalculation Appeals - Allows the school to add an EFC recalculation appeal for a student
  • Professional Judgment Processing Order - Requires transaction types to completed in the following order:
    • Verification Transaction must be reviewed by School with accurate ISIR prior to EFC recalculation appeal being completed
      • Student may complete both transaction types at the same time
    • Dependency override appeal must be completed with accurate ISIR and dependency status prior to student being able to complete verification
      • Student is prevented from completing verification when Dependency Override is being reviewed to prevent student from having to complete both a Dependent and Independent verification worksheet and to prevent conflicting information 
Professional Judgment Dependency Override Appeals Settings

The following settings allow the school to customize appeal instructions and special circumstances that they consider for Dependency Override Appeals. 

  • PJ Dependency Override Appeal Instructions - Allows the school to customize instructions on the web form with requirements for the Dependency Override Appeal
  • PJ Dependency Override Appeal Signed Statement Instructions - Allows the school to customize the instructions for what is required by the school in the signed statement from the student
  • Special Circumstance - Allows the school to customize the special circumstances that they consider for Dependency Override Appeals
    • School may use standard special circumstances provided in StudentForms
    • School may reorder existing special circumstances using "Move Up" and "Move Down" buttons
    • School may delete existing special circumstances using  "Delete" button
    • School may add new special circumstances using "Add" button
  • Please Note: Special circumstances are by award year. If school changes special circumstances, they would need to be updated each award year.
Professional Judgment EFC Recalculation Appeals Settings

The following settings allow the school to customize appeal instructions and special circumstances that they consider for EFC Recalculation Appeals.

  • PJ EFC Appeal Independent Instructions - Allows the school to customize instructions on the web form with requirements for the EFC Recalculation Appeal for Independent students.
  • PJ EFC Appeal Independent Signed Statement Instructions - Allows the school to customize the instructions for school requirements that must be included in the signed statement from the student.
  • PJ EFC Appeal Dependent Instructions - Allows the school to customize instructions on the web form with requirements for the EFC Recalculation Appeal for the parent(s) of a Dependent Student.
  • PJ EFC Appeal Dependent Signed Statement Instructions  - Allos the schoolt o customize the instructions for school requirements that must be include in the signed statement from the student/parent.
  • Special Circumstance - Allows the school to customize the special circumstances that they consider for EFC Recalculation Appeals
    • School may use standard special circumstances provided in StudentForms
    • School may reorder existing special circumstances using "Move Up" and "Move Down" buttons
    • School may delete existing special circumstances using  "Delete" button
    • School may add new special circumstances using "Add" button
  • Please Note: Special circumstances are by award year. If school changes special circumstances, they would need to be updated each award year.


Please Note: Adding or removing reason will only apply to web forms created from that point forward. Previously initiated web forms will not be modified. If appropriate, the appeal should be rescinded and a new appeal initiated with updated reasons. 

 

Once all changes have been made, click the "Save" button at the top of the Appeals page.
