Introduction
The File Imports page is a centralized hub for import files pertaining to CampusLogic products. Admin users of any CampusLogic product and StudentAdvisor Advisors can access this page from Integration > File Imports.
File Types Supported
There are multiple types of import files that are managed in this screen. Some support multiple products while others are product specific.
- School SIS Data: SIS data is fed into ScholarshipUniverse to auto-answer questions and provide the data in a manner to filter students when managing applications and awarding. This is also used in StudentAdvisor when building specific content referencing SIS values.
- Scholarship Data: This import creates new scholarships and updates existing ones in ScholarshipUniverse.
- Scholarship Awards: This import creates new awards and updates existing ones in ScholarshipUniverse.
- Verified Student Data: This generates a shell student record that can be used as a placeholder until a student has created their account (for Direct Sign-On institutions). Verified students can be awarded scholarships in ScholarshipUniverse and have outreach notifications sent via StudentAdvisor before a student has created an account.
- Archive Student Answers: This removes students' match answers in ScholarshipUniverse.
- Deactivate User Data: This allows bulk management of any user account - students, parents, donors, employees.
- StudentAdvisor Content: This onboarding tool allows institutions to bulk import their initial content into StudentAdvisor.
- Advisor Assignment: This allows bulk assignment of students to advisors in StudentAdvisor.
- Note: This is the only import that can be viewed and used by Advisor users.
- Restricted Students: This import allows the user to manage the list of restricted students who are not eligible to use SponsoredScholar for that institution.
- Mid Year Onboarding: This import is used when a school implements StudentForms after they have already started processing verification/c code/reject code resolution for the award year outside of StudentForms, the students where verification, c code, or reject code resolution has been completed, need to be identified and marked as verified/complete externally in StudentForms.
- Scholarship Matching Requirements: This import allows institutions to import a list of requirements in the form of questions and acceptable operators and values that will populate the matching requirements for the given scholarship in ScholarshipUniverse.
File Imports Grid
The File Imports grid lists each file that has been imported, including the date/time, file name, file type, and who uploaded it. Each record also displays amount of records found and the results of each import. User may also take the action on these files if necessary.
The results of a file import are broken up into 4 main categories:
- Records: the total amount of records that were reviewed in the import, regardless of outcome
- Duplicates: the total amount of records that were not processed due to be a duplicate of the previous import file
- Some imports such as the School SIS Data will review every records before processing, running a check on a key identifier (such as Student ID) to see if there are any changes from the last file import of that type. If nothing has changed since the last import file, a record will be considered a duplicate and will not be processed. This is used to reduce the import processing time, which is helpful for larger files.
- Processed: the total amount of records that were processed successfully; this includes files that were not found to be duplicates or have an error to prevent being processed
- Errors: the total amount of record that failed due to an error
- Click the Errors count hyperlinkto open the Errors modal
- The Error count is a hyperlink that opens the Errors modal. Here users can view each error found during the import process. Each record is indicated by the row number found on the file and is given a specific message to what the error is to help users make determinations on how they can resolve the issues.

- Use the File Type drop down above the grid to filter files by a specific file type
- Click the Upload buttonto import a new file
- Select the correct File Type for the import
- Click Browse... to open up the desktop and select a file
- Click Upload once a file has been selected
Users can also take specific actions on the file during or after processing.
- Click the Cancel icon to immediately stop processing a file
- This action is only available while a file is being processed and prevent any new records from being processed. Any records completed (found in the Processed column) will stay that way - this does not retract records already processed.
- Click the Re-run (Refresh) icon to re-run an import file
- This action forces a file to be reprocessed. Unlike importing a new file, the re-run action forces all records to be reprocessed, regardless of being a duplicate based on the previously imported file.
- The main use case for this action is to re-run the School SIS Data. Every record successfully processed (not duplicated) triggers the auto-answer function in ScholarshipUniverse. If there were significant changes made to questions and/or mapping questions to SIS data fields, it's highly likely an institution would desire the import to update student answers. If an institution plans on reloading their population of students in their next import file and expect each student will be processed and not duplicated (possibly due to a new data field/values), then re-run is not required.

- Click the Download icon to download a copy an import file
