Introduction

The Donors page contains an import feature to allow you to manage donor information in quick, bulk actions.


The import feature allows you take the following actions:

  • Create a new Donor
  • Edit the information of an existing Donor
  • Toggle the active status on existing Donors



User Import File Specifications

The bulk user import process uses a CSV file with the following fields and requirements:

  • Name
  • Description
  • Active - an internal flag to indicate whether or not this donor record is active or inactive; acceptable values are:
    • Y = yes/active
    • N = no/inactive
  • Alumni - an internal flag to indicate whether this is an alumni donor group (yes) or not; acceptable values are:
    • Y = yes
    • N = no
  • Public - an internal flag to indicate whether this is a public donor (yes) or private donor (no); acceptable values are:
    • Y = yes
    • N = no
  • Internal ID - an internal ID used to match donor record with another database, such as your information system
  • Internal Note - an internal, editable note about the donor
  • Address Line 1
  • Address Line 2
  • Country
  • City
  • State
    • State should use the abbreviated form of the state name ("AZ" for Arizona)
  • Zipcode
  • Phone 1
    • Phone number must be a complete 10 digit number to be added/edited
  • Phone 1 Ext - up to five digits
  • Phone 2
  • Phone 2 Ext - up to five digits
  • Email
    • Email must be in a valid email format (address@domain.domain)
  • Website


* Name, Description, and Email are the only required fields. A null Active value will default to Y/active. A null value for Alumni and Public will default to No.



Please note the following requirements for the import file:

  • The user import file requires the headers given above for any situation, in the same format and in the order listed
  • If an existing Donor Name exists, your import will make edits to the existing record
  • If any of the following fields includes commas in their value, you will need to wrap the value in quotations (" ") to retain the CSV format
    • Description

    • Internal ID
    • Internal Note
    • Address Line 1
    • Address Line 2



Using the Import Feature

This section will walk you through the import process. The import feature will validate your file and alert you to any errors before you decide to commit to the changes.


  • In the Donors page, click on the Import Donors button.
  • The Donors Import modal will appear, where you must select a CSV file to import.
  • After selecting a file, the import process will begin validating the file before taking action. The results of the validation will appear within the modal:
    • Number of records to be added (New Accounts)
    • Number of records to be updated (for both profile edits and/or new roles added)
    • Number of records with error
      • if errors are found, a list will be generated to quickly identify the issue and what row it is found in the import file



  • If you wish to export a CSV file of the records with errors, click on Export Error Results
  • If you have no errors and you are ready to commit the changes, click Submit. If you have errors, you can still Submit to commit all records ready to add or update, but errors won't be included in the commit.
