Release Notes

Release of updates to the scholarship builder, the new On Hold scholarship status, mapping SIS fields to review sections and questions, new roles and updates rights, and the school dashboard.


Enhancements

  • [SU-459] - Scholarship Builder - Cycle Logic Update
    • Updates to the logic around cycle selection in the scholarship builder to allow certain cycles during a certain scholarship status, in some cases allowing to select a past cycle to automatically close the scholarship to Ready to Review or Awarding, based on whether it has an application or not.
      • if Scholarship Status = Draft, Cycles will allow selection of any current and future cycle
      • if Scholarship Status = Published, Cycles will allow selection of all cycles (past, present, future)
      • if Scholarship Status = Open, Cycles will allow selection of any current and past cycle
      • if Scholarship Status = Ready to Review, Cycles will allow selection of any current cycle
      • else the Scholarship Status is any other status and cycles are no longer editable
  • [SU-460] - Scholarship On Hold
    • A new scholarship status has been implemented called "On Hold". This status is available to manually update by using the "Hold" button inside the scholarship builder while a scholarship is currently in Open status (the cycle is open). This status may be used to hide an open scholarship if you need time to make edits or postpone for later visibility. While in this status, a scholarship will no longer appear on student's scholarship lists or can be applied to - any application submitted beforehand will still be retained. You can make the scholarship visible again by using the "Release" button in the Hold button's place, or the scholarship will automatically move on to the next status if it reaches it's cycle deadline.
  • [SU-432] - Prohibit Scholarship Rollover with Outstanding Awards to Post
    • Update to ensure that a scholarship may not be rolled over to a new version while the current version has outstanding awards to be posted to the SIS. This includes any awards that were created and not yet notified, awards that have been notified but have not had acceptance and/or thank you completed, and awards that are ready to be posted. A scholarship may be manually pushed to Completed status without awarding the entire budgeted amount, but any award created and not posted will stop a user from rolling over that completed scholarship. Any award that was revoked during the notification process and any award declined by a student is not counted as an outstanding award.

    • The school dashboard has a new interface to help visualize and drive workflow. Based on permissions, you will now see workflow tiles based on the main workflow categories: Plan, Review, and Award. Each tile provides a count and link to it's relative information:
      • Plan
        • Active Scholarships
          • Count of all scholarships in Publish or Open status
          • Navigates to: Plan > Scholarships > Active Tab
        • Completed Scholarships
          • Count of all scholarships in Complete status
          • Navigates to: Plan > Scholarships > Complete Tab
        • Drafts Ready to Publish
          • Count of all scholarships in Draft status
          • Navigates to: Plan > Scholarships > Draft Tab
        • Cycles Closing
          • Count of any cycle within seven days of deadline date
          • Navigates to: Plan > Cycles
      • Review
        • Create Pools
          • Count of all applications with at least one scholarship in Ready to Review status
          • Navigates to: Review > Manage Pools
        • Review Applicants
          • Count of all outstanding applicant reviews assigned to user

Fixes

  • [SU-489] - Majors and Programs Allowing Duplicates
    • Resolved issue where importing new majors/programs was allow duplicate records to be created for the same major/program. You can have many majors/programs tied to the same Classification of Instructions Program (CIP) Code, but you cannot have many CIPs to the same major/program, meaning you cannot have duplicate majors/programs with the same name. If the major/program does not already exist and your import file contains multiple records with the same major/program name, the import process will only create one record based off the last duplicate record found.
  • [SU-454] - Student Dashboard Opportunities Cleanup
    • Fixed different amount and labels presented to the student on their dashboard. Amounts were not appearing correctly based on the scholarships' statuses and have been resolved.
  • [SU-492] - No Original ScholarshipID When Importing Scholarship
    • Fixed minor issue where newly imported scholarships were not given a Scholarship ID. This caused renewing students to not appear correctly for the next version of the scholarship. Renewing students are now displaying in the new version as expected.
  • [SU-500] - Post Batch Modal - Missing Records
    • Resolved issue where viewing a previously batched file of posted awards would only show each student's first scholarship award, regardless if there were many for the same student. This did not effect the actual export, but just viewing any previously exported file records.
  • [SU-503] - Students Can Apply to Future Visible Scholarships
    • Fixed issue where students were able to apply to scholarships set for a future open date but were allowed visibility to the student before the cycle opens. Schools have the option to allow a scholarship to be visible before an open cycle, in cases where they wish to promote an upcoming scholarship, but a student is not allowed to apply to a scholarship until its cycle has been opened.
  • [SU-491] - Awards Appearing in Notification Screen Incorrectly
    • Fixed issue where renewable awards were being awarded and ready to notify before the scholarship reached the Awarding status. This issue occurred any time a renewable scholarship was rolled over - the awards would instantly become available, despite a scholarship's status. The fix ensures that the awards and records ready to notify are not generated until the renewable, rolled over scholarship has been moved to an Awarding status.
