Release Notes

This release contains new scholarship sorting for students, updates to student matching questions, an overhaul in the award notify and approval process, award importing, award event notifications, the ability to remove reviewers, and a fix to SmartRank.



Enhancements

  • [SU-855] - Student Scholarship Sorting
    • The students' scholarship list has been updated to add additional sorts to help students search by their preference. Students can now sort by:
      • Due Date - by nearest closing deadline
      • Relevancy - predictive algorithm of which scholarships are more relevant to the student, assuming a better chance of winning
      • Amount: High to Low
      • Amount: Low to High
      • Alpha: A-Z
      • Alpha: Z-A
      • Difficulty - sorts scholarships by lowest to highest difficulty, determined by the internal application and the number of questions, documents required, and letters of recommendation required
      • School Scholarships First
      • External Scholarships First
    • Please note that Admins have the ability to control the default sort order used each time the student logs in. Navigating to Settings > Basic, you'll now find the option "Default Student Scholarship Sort Order" to select which sort you prefer the student to use upon login. Please note that if the student changes the sort order, it will keep that sort throughout their session. Once they log out and log back in, the default sort will be applied again.
  • [SU-919] - Award Approval Workflow & [SU-892] - Award Notification Overhaul & [SU-933] - Award Notification Update
    • The Notify page used to manage notification of awards has been renamed to Manage Awards and has new functionality added to it.
      • Approval tab (new): this tab is a new feature to allow approval of awards before they can be notified. The new Award Approver role has access to this tab and can only approve awards for scholarships associated to the user's Organization/Departments. Once an award is approved, the award will move over to be ready to be notified (a second approval process). To enable and use the Approval tab and process:
        • As an Admin, navigate to Settings > Basic and enabled the Allow Award Approvals switch
        • With the switch enabled, you can now enforce the approval of awards on a per-scholarship basis; within the scholarship builder, you can enabled the Award Approval Required switch to enforce awards for a scholarship to go through this new approval process
      • Notify Awards tab: previously known as the Notify tab, this tab contains all awards ready to be notified, either after being approved or once the award amount is entered and does not require approval. This tab continues to manage when an award is ready for notification, whether or not an acceptance or thank you is required.
        • A new feature allows the school to send a preliminary notification to be sent out to students that are not required to accept or write a thank you. At the time of selecting student and clicking notify, the notification modal that sets the acceptance and thank you deadlines will now have an additional option to send notification to students who do not require any action. The option is hidden if all students selected require one and/or the other.
      • Pending Student Action tab: previously known as the Pending tab, this tab contains all awards currently awaiting acceptance and/or a thank you from the student. Users can continue to monitor and take action - waiving acceptance, thank you letters, or even removing the award.
      • Notify Non-Awarded tab: previously known as the Award Loss tab, this tab contains all students who completed an application for a scholarship and were not awarded. Students on this screen are still added on a per-scholarship basis and school users still have the ability to send out or dismiss the notifications.
      • Cancelled tab (new): this tab contains a list of all awards that were either removed by a school user, or declined by the student at the time of acceptance. This tab is used as a reference and does not require any action to be taken.
      • Completed tab (new): this tab contains a list of all awards that have been posted. This tab is used as a reference and does not require any action to be taken.

  • [SU-890] - Award Imports
    • The Historical Awards import has been transformed into the Scholarship Awards import, and is no longer restricted to be used to back fill historical awards already distributed before implementing ScholarshipUniverse. The import now allows schools to add new awards, make adjustments, and remove awards from current/completed scholarships. We've also opened up the functionality to Admin users, where they can manually import these file in PlatformManagement > Integration > File Imports.

  • [SU-939] - Award Event Notifications
    • A new series of event notifications have been added specifically for ScholarshipUniverse award status updates. You can now subscribe the the 700 series which contain a change of each status for an award record, including scholarship awards moving to Posted, Pending, Offered, Ready to Post, Declined, Removed, Promoted and Pending Approval statuses.
    • In order to subscribe to any of these events, a Platform Admin can access the subscriptions through PlatformManagement > Integration > Event Notifications.
  • [SU-932] - Update to Student Matching Question Flow
    • The logic behind the order of which matching questions asked to the student continues to prioritize questions that have the most association between the school internal scholarships and the external scholarship database. Previously, questions were asked on a one-by-one basis, unless trumped by a custom question container that is always asked first. This update now helps students complete the process faster by asking three questions at a time and continues to pull the next three questions of priority. Questions tied to containers are still prioritized and display within their container - the matching question algorithm then follows with the three question pattern.
    • Along with this update, in cases where multiple questions have the same number of scholarships tied to them, the question algorithm will now prioritize the questions associated to school internal scholarships, followed by questions tied to external scholarships. This helps drive custom school questions to be asked sooner in the process rather than randomly selected with all questions tied to the same amount of scholarships.
      • Example: 
        • Question "Which campus are you enrolled in?" is a school question tied to 1000 scholarships.
        • Question "What is your current or intended major?" is a global question tied to 1000 scholarships.
        • The tie-breaker goes to the question associated to the most school scholarships, so "Which campus are you enrolled in?" is asked before "What is your current or intended major?"
  • [SU-904] - Ability to Cancel Individual Reviews
    • Review Managers now have the ability to remove a Reviewer on a per-review pool, per-round basis. Removing a reviewer from a review pool round does not remove the user from the Committee, does not remove them from any other active pools they are associated to, and does not prevent the Reviewer from being added back in the next round of the review pool. Removing a Reviewer will also remove any scores given, re-adjusting the average scores given to the student to not reflect that Reviewer's scores.
    • To remove a Reviewer:
      • Open an the Pool Scoring modal for the review pool
      • Select the user you wish to remove and click on the Remove Reviewer button
      • The confirmation modal will allow you to send a notification message to the Reviewer that they are no longer required to provide reviews for the current round of the review pool




Fixes

  • [SU-964] - SmartRank Not Responding to Numeric SIS Data
    • Fixed an issue where SmartRanks were not correctly pulling in numeric type SIS data, causing the entire SmartRank to apply incorrect ranking scores to students. The issue has been fixed and existing SmartRanks with this criteria should work as expected.
