Introduction

StudentForms offers a variety of appeal transaction types that can be managed by the institution. Along with enabling selected appeal transaction types, institutions may also customize text and settings that pertaining to the webform associated to the transaction.


Users with the Admin role can manage appeal transactions under Settings > Appeals.



Types of Appeal Transactions

StudentForms delivers multiple appeal transactions out-of-the-box. Custom transactions requested by an institution can also be managed here. By default, the following appeal transactions can be managed by an institution:

  • Professional Judgment Dependency Override: Appeal to override a student's dependency status from Dependent to Independent.
  • Professional Judgment EFC Recalculation: Appeal to adjust financial data elements utilized in the calculation of the expected family contribution.
  • SAP Status Appeal: Appeal to review Satisfactory Academic Progress (SAP) status for aid eligibility.
  • Emergency Fund Application: Appeal to request additional funds due to an unexpected event.
  • Cost of Attendance Appeal: Appeal to review a student's cost of attendance.



Managing Appeal Transactions

An institution is able to turn on and off the appeals individually. For any default StudentForms appeal, enabling an appeal transaction will also allow editing instructional text and managing settings for the webform associated to that appeal.


  • navigate to Settings > Appeals


The Appeals section of the page contains all of the eligible transactions to enable or disable. The top list contains all default StudentForms appeal transactions, while the bottom list contains all institutional custom transactions, if any.

  • click an appeal transaction switch to enable/disable as desired
  • click the "Display Appeal Status to Student" switch to enable/disable displaying the appeal outcome to the student on their transaction card
    • When enabled, statuses visible to student are Open, In Review, Approved, and Denied 


SAP Appeal Settings

The following settings allow the institution to customize the information presented to students as they complete the steps of the SAP Appeal webform and uploading supporting documentation.


  • SAP Appeal Instructions: Allows an institution to customize the SAP Appeal webform instructions on what is required to complete the appeal
  • SAP Appeal Signed Statement Instructions: Allows an institution to customize the instructions on what must be included in the student's signed statement as they explain how they failed to meet SAP and what has changed to allow them to meet SAP requirements in the future
  • SAP Appeal Policy URL: An institution may provide a link to their SAP Policy on the institution's website. The link appears in the SAP Appeal Instructions
  • Require Supporting Documentation: Allows an institution to manage whether supporting documentation if required from the student upon completion of the form, or if it may be optional for the students to indicate whether or not they will provide the documentation


Professional Judgment Appeals Settings

The following settings allow the institution to enable the individual PJ appeal types and to enforce processing order for professional judgment appeals.


  • Professional Judgment Dependency Override Appeals: Allows an institution to enable dependency override appeals to be generated for students
    • Please Note: Only students who are Dependent on their ISIR have the Dependency Override appeal option. Independent students will not have this appeal type.
  • Professional Judgment EFC Recalculation Appeals: Allows an institution to enable EFC recalculation appeals to be generated for students  
  • Professional Judgment Processing Order: This setting controls whether or not transaction types are required to be completed in the following order
    • Dependency override appeal must be completed with an accurate ISIR and dependency status prior to the student being able to complete verification
      • Student is prevented from completing the verification transaction when a Dependency Override is being reviewed to prevent the student from having to complete both a Dependent and Independent verification webform and to prevent conflicting information
    • Verification Transaction must be reviewed by the institution with an accurate ISIR prior to EFC recalculation appeal being completed
      • Student may complete both transaction types at the same time


Professional Judgment Dependency Override Appeals Settings

The following settings allow an institution to customize appeal instructions and special circumstances that they consider for Dependency Override Appeals.


  • PJ Dependency Override Appeal Instructions: Allows an institution to customize the PJ Dependency Override Appeal webform instructions on what is required to complete the appeal 
  • PJ Dependency Override Appeal Signed Statement Instructions: Allows an institution to customize the instructions on what must be included in the student's signed statement as they explain their need for a dependency override
  • Require Supporting Documentation: Allows an institution to manage whether supporting documentation if required from the student upon completion of the form, or if it may be optional for the students to indicate whether or not they will provide the documentation
  • Special Circumstance: Allows an institution to manage a custom list of special circumstances that can be considered a reason(s) to generate the Dependency Override Appeals. StudentForms comes with a default list of circumstances that an institution may use or edit.
    • select an award year to view the current circumstances defined for that year
    • click the Add+ button to create a new circumstance
    • click the delete (trash) button to remove a circumstance
    • click and drag the draggable (six dots) icon to update the sort order of circumstances


Professional Judgment EFC Calculation Appeals Settings

The following settings allow an institution to customize appeal instructions and special circumstances that they consider for EFC Recalculation Appeals.


  • PJ EFC Appeal Independent Instructions: Allows an institution to customize the PJ EFC Appeal webform instructions on what is required to complete the appeal - this is for the independent student version
  • PJ EFC Appeal Independent Signed Statement Instructions: Allows an institution to customize the instructions on what must be included in the student's signed statement as they explain their need for an EFC recalculation - this is for the independent student version
  • PJ EFC Appeal Dependent Instructions: Allows an institution to customize the PJ EFC Appeal webform instructions on what is required to complete the appeal - this is for the dependent student version
  • PJ EFC Appeal Dependent Signed Statement Instructions: Allows an institution to customize the instructions on what must be included in the student's signed statement as they explain their need for an EFC recalculation - this is for the dependent student version
  • Require Supporting Documentation: Allows an institution to manage whether supporting documentation if required from the student upon completion of the form, or if it may be optional for the students to indicate whether or not they will provide the documentation
  • Special Circumstance: Allows an institution to manage a custom list of special circumstances that can be considered a reason(s) to generate the EFC Recalculation Appeals. StudentForms comes with a default list of circumstances that an institution may use or edit.

Emergency Fund Application Settings

The following settings allow the institution to customize the information presented to students as they complete the steps of the Emergency Fund Application webform and uploading supporting documentation.


  • Emergency Fund Application Instructions: Allows an institution to customize the Emergency Fund Application webform instructions on what is required to complete the appeal 
  • Emergency Fund Application Signed Statement Instructions: Allows an institution to customize the instructions on what must be included in the student's signed statement as they explain their need for the emergency aid
  • Require Supporting Documentation: Allows an institution to manage whether supporting documentation if required from the student upon completion of the form, or if it may be optional for the students to indicate whether or not they will provide the documentation


Cost of Attendance Appeal Settings

The following settings allow the institution to customize the information presented to students as they complete the steps of the Cost of Attendance Appeal webform and uploading supporting documentation.


  • Cost of Attendance Appeal Instructions: Allows an institution to customize the Cost of Attendance Appeal webform instructions on what is required to complete the appeal 
  • Cost of Attendance Signed Statement Instructions: Allows an institution to customize the instructions on what must be included in the student's signed statement as they explain their need for an update to their cost of attendance
  • Require Supporting Documentation: Allows an institution to manage whether supporting documentation if required from the student upon completion of the form, or if it may be optional for the students to indicate whether or not they will provide the documentation


Institutional Custom Appeals

For each institutional custom appeal created, the following settings allow the institution to customize specific details for each individual custom appeal.


  • Appeal Title: Allows an institution to customize the name of the appeal transaction as it appears on both the school and student side
  • Requires an ISIR: Allows an institution to require an ISIR for a given award year that a transaction is being requested for. When enabled, the student must have an ISIR for the same year the request is being made for; else when disabled the transaction can be requested regardless if the student has an ISIR for the selected award year
  • Allow Multiple: Allows an institution to manage whether or not a custom appeal transaction can be requested more than once in a given award year
