Introduction

The student profile is a full page modal that allows an institution to access student information and navigate to specific transactions. Whether access from running a student search or by clicking on the student hyperlink, in the case of the student's name on the file review page, the modal will open above the page so that users don't navigate away from the page (unless purposefully navigating to a specific transaction file review page).


The student profile can be accessed by all users by running a student search. If the search only finds one match (i.e. using a student ID to search), then the profile modal will open from the page the user is currently on. If the search finds multiple results (i.e. searching by first name), then the user will be taken to the search student results page to select the correct student.



Student Profile

The student profile allows a user to review account information, transaction information, ISIR information, and account activity. The header information includes the student's profile image (uploaded through their PlatformManagement profile), name, student ID, and student type.



The ID is dynamic based on certain conditions.

  • If no ID is found and instead has the "Create Verified Student" link, it means the information is pulled strictly from the ISIR and the student does not have an account or has had a student ID associated to it yet

  • If an ID is found, but is not displayed as a hyperlink, it means the student is a verified student but does not have an account yet. Verified students may be ISIR students who have had a student ID associated to the ISIR or are non-ISIR students that have been approved to create an account using the Verified Student import.

  • If an ID is found and is displayed as a hyperlink, it means the student has already created an account. Clicking the hyperlink will navigate the user to the student's PlatformManagement page.

  • In cases where a student has been locked out of their account from too many failed login attempts, needs to have the institution manually reset their password, or needs to have the account deactivated/reactivated, users can use this hyperlink to access the PlatformManagement profile page where they can take the necessary actions.


The Student Type indicates how they are linked to StudentForms.

  • Federal ISIR: the student has at least one federal ISIR attached to the account
  • DREAM Application: the student has at least one California DREAM Application ISIR attached to the account
  • Non-ISIR Student: the student has neither the federal or DREAM ISIR and was created through the Verified Student import process



Associate a Student ID to an ISIR Student

In order for a transaction to be created (i.e. Verification, appeal transactions, other documents, or any custom transaction) a student must have a student ID. In most cases a student will already have an ID, whether through account creation or being added through the Verified Student import. If an ISIR is loaded in StudentForms and the matching information (date of birth and social security number) doesn't find an existing student account or verified student record, then it will not be attached to a student yet. If an institution wishes to preemptively take action on an ISIR not yet associated to a student, they can create a verified student record from the ISIR and associate a student ID to it.

  • click the Create Verified Student hyperlink
  • input a student ID to associate to the ISIR


If a student ID is already linked to another student, a validation message will appear and prevent that ID from being used on another student. If a user feels that this is an error, they should run a search on the student ID used to determine further action.


If a student ID is not linked to another student, then the modal will display the matching information found on the ISIR.

  • input an email address (or edit the email, if desired); an email address will auto-populate if found on the ISIR
  • click the Save button to create a verified student record with an ID


If for some reason the student ID is assigned to the wrong student and need to be assigned to a different student, institutions can use the same method to reassign the ID to a different student.


If the ID is associated to a student and not linked to an active account, follow the same steps above:

  • click the Create Verified Student hyperlink on the student profile you wish to reassign to
  • input the student ID to associate to the ISIR
  • input an email address (or edit the email, if desired); an email address will auto-populate if found on the ISIR
  • click the Move Student ID button to reassign the existing ID to this student


If the ID is associated to a student and is linked to an active account, the entering the same student will only display a warning that it is currently being used. You must take an additional step before reassigning an ID.

  • click the Force Re-Registration Button on the student profile of the student you wish to remove the ID from


Once the ID has been disassociated from the active account, then it is free to be reassigned to another student.

  • click the Create Verified Student hyperlink on the student profile you wish to reassign to
  • input the student ID to associate to the ISIR
  • input an email address (or edit the email, if desired); an email address will auto-populate if found on the ISIR
  • click the Move Student ID button to reassign the existing ID to this student



Student Profile Tabs

The profile is broken up by the following tabs:

  • Account: provides the student's basic account information, contains the Force Re-Registration button, and parent account information for any parent found associated to the student
  • Transactions: review and manage all transactions found for a student
  • ISIRs: provides the ISIR pdf selector and ISIR comparison tool
  • Activity: provides a list of all user activity, communications, and logins associated to a student's account
