Introduction

The Workflow page is used to track and manage all workflow and document review ready to be completed by the institution. This page is broken up into several work tiles that can be seen by users with the correct permissions. Out-of-the-box, there are predefined tiles that can be used by an institution for all use cases. Institutions can also create new tiles for specific use cases.



Workflow Page

The workflow page is broken up into several tiles to help manage an institution's workflow. There are two main types of workflow tiles:

  • Workflow based tiles: also known as transaction review tiles, these tile target when an entire workflow transaction has been submitted by the student (i.e. Verification, SAP Appeal, etc). These records will direct users to the file review page.
  • Document based tiles: these tiles target individual documents that have been submitted, regardless of entire transaction being submitted (i.e. Verification Web Form, Student's Driver's License, etc). These records will open the document review modal to allow users to view, input data, and either approve, reject, or pend a document.
  • Subsequent ISIR File Review is a unique tile, as it has specific logic to reviewing incoming ISIRs, therefore


Out-of-the-box, StudenForms offers a variety of predefined tiles. Each tile is accessible by users with the correct permissions.

  • Verification File Review: a workflow based tile targeting Verification workflows submitted by students
    • Seen by users with the School Admin, School Admin (Limited), School FAO, School FAO (Limited), and Help Desk roles
  • Verification Document Review: a document based tile targeting documents submitted within the Verification workflow
    • Seen by users with the School Admin, School Admin (Limited), School FAO, School FAO (Limited), Document Reviewer, and Help Desk roles
  • Global Appeal Review: a workflow based tile targeting the global workflows submitted by students, including the SAP Appeal, PJ Dependency Override Appeal, PJ Family Contribution Appeal, Cost of Attendance Appeal, and Emergency Aid Fund
    • Seen by users with the School Admin, School Admin (Limited), School FAO, School FAO (Limited), Document Reviewer, COA Help Desk, School COA User, EFA Help Desk, School EFA User, SAP User, PJ User, and Help Desk roles 
  • Custom Appeal Review: a workflow based tile targeting any institutional custom workflow submitted by students
    • Seen by users with the School Admin, School Admin (Limited), School Custom Transaction User
  • Other Documents Review: a document based tile targeting documents submitted within the Other Documents workflow
    • Seen by users with the Generic Transaction Admin and Generic Transaction Help Desk roles
  • Subsequent ISIR File Review: a workflow based tile targeting Verification workflows previously in a Verified status that now have a subsequent ISIR with unexpected changes that need to be reviewed by the institution
    • Seen by users with the School Admin, School Admin (Limited), School FAO, and School FAO (Limited) roles


  • Please note that while users may share these default tiles, users may only see records related to their role. For example, a SAP user may see the Global Appeal Review but will only have visibility into the SAP Appeal records within. PJ, COA, and EFA records would not been seen by the user.


School Admins have the ability to add additional tiles to the page. As tiles are added, any user with the correct permissions will have access to the tile.

  • click the Add button to add a new tile
  • enter a name for the new tile
    • this will appear on the tile to all user who have visibility
  • select a Queue Type; options include Workflow Based and Document(s) Based
    • Workflow Based: these tiles pull in workflow submitted by students (i.e. Verification, SAP Appeal, etc). These records will direct users to the file review page.
    • select a Workflow(s) for the tile to target; multiple workflows may be selected and may include a mix of global and custom workflows

  • Document Based: these tiles target individual documents that have been submitted, regardless of entire transaction being submitted (i.e. Verification Web Form, Student's Driver's License, etc). These records will open the document review modal to allow users to view, input data, and either approve, reject, or pend a document.
  • Select a Workflow to search for documents to add to the queue
  • Select Document(s)to be targeted for this tile to look for
    • Users may select additional documents from different workflows by changing the workflow and adding the documents found within another workflow

  • click the Save button to create the tile


Like the default global tiles, users may share these custom tiles but users may only see records related to their role. For example, a custom workflow tile for SAP and a custom workflow may be created, but a user with only the SAP User role will only have visibility into the SAP Appeal records within. The custom workflow records would not been seen by the user.


At any time an admin user may edit a tile's settings, or even delete it, if necessary.

  • click the edit (pencil) icon on the top right corner of a custom tile to edit
  • make any necessary changes and save or
  • click the Delete Queue button to delete the tile


All users have the ability to manage the visibility of the tiles they have permissions to on the page. This allows institutions to create specialized tiles and give the individual user the ability to hide any tiles, as needed.

  • click the settings (cog) icon to open the Edit Workflow Dashboard
  • drag and drop tile namesto reorder them on the page
    • tiles are ordered from left to right, from top to bottom
  • turn off the switch for a tile to hide it
  • turn the switch back on for a tile to display it again
  • click the Save button to confirm the changes
